Before Creating a Letter
Before creating a letter either on the NHAIS System Letter Library or using Microsoft
Word, it is a good idea to think about the content and layout of your letter. It can be
helpful to make a rough draft of the letter before starting to type, and to think about
the following:
•
How many paragraphs do you want in your letter?
•
Does it contain standard paragraphs that you could set up on the Paragraph
Library? Check to see if they have already been set up. See page 1-15.
•
Does it contain Patient and GP details that have been defined in
Data Items
?

Rules for Creating a Letter
When creating a letter certain rules need to be followed, which are detailed below.
Letter Code
The Letter Code is the ‘identity tag’ for an individual letter, and must be a unique
name or sequence. The code may be from 1–4 alphanumeric characters. It is useful to
remember that:

The letter code should relate to the letter name.
•
The letter code must be unique.
Your Health Authority may already have a naming convention for letters in the
library.

Remember that you must create a letter code whether you are producing
your letters via the Letter Library on the NHAIS System or via Microsoft
Word. If letter text is duplicated in Word, it must be allocated the same
letter code as it was given on the NHAIS System.
Letter Name
The Letter Name should provide a concise description of the letter, for example
BULK – Bulk Transfer Letter.
Description and Usage
This is an optional entry which be used to indicate the purpose of the letter and when
it is sent out.
Text
You are allowed a maximum of 51 lines of text spread over three pages.
Data Items can be embedded within the text (see page 1-10). Paragraphs, created
using the Paragraph Library (see page 1-15), can be inserted into the letter.
If you wish to use Data Items and Paragraphs, you must enter

on the Letter Library
