Interaction with the PDS
Interaction with the Personal Demographics Service
Introduction
As part of the implementation of the Personal Demographics Service (PDS), which
forms part of the NHS Care Record Service (NCRS), NHAIS systems needed to stop
allocating temporary NHS numbers and using old format NHS numbers at the earliest
opportunity.
This was achieved in two distinct, initial development phases – Stages 1 and 2 – which
enabled NHAIS systems to interact with the PDS.
The latest stage of development – Stage 3 – enables NHAIS systems to update the
PDS directly in real-time for:

acceptances;
•
amendments initiated by GP practices or NHAIS agencies; and
•
deductions initiated by GP practices or NHAIS agencies.
Stage 1
Stage 1 saw NHAIS systems automatically attempt to establish a patient’s true 10 digit
NHS number from the PDS, whilst still allowing a patient to be registered on an
NHAIS system with either a temporary or an old format NHS number. Any temporary
and old format NHS numbers were resolved via the NHSCR in the usual way.
Stage 2
Stage 2 saw NHAIS systems stop using temporary and old format NHS numbers for
all patient registrations; the requirement was for all registered patients to be either
successfully traced against the PDS, or have new 10 digit NHS numbers allocated to
them by the PDS.
The tracing process operated in a similar manner to that undertaken in Stage 1, except
that there was a greater need for user intervention in the allocation process. The major
change between Stages 1 and 2 was that it became impossible to allocate a temporary
number to any registration, except for registrations with dummy GPs.
Also with Stage 2, any interaction with the PDS which changed the information stored
on it became subject to strict security controls. As a consequence of this development,
smartcards were introduced for all NHS number allocation activity.
A new screen – AR (PDS Allocations Queue) – was introduced in Stage 2. From Stage
2 onwards, any PDS Allocation Requests which time-out on the ID or LX screens are
passed to the PDS Allocations Queue, which can be searched using the AR screen.
A new analysis job – AJ-ALNO (PDS-allocation NHS Number File Analysis) – was
also created for Stage 2. This analysis job allows you to report on PDS-allocated NHS
numbers.
