Registration Reference Manual
Interaction with the PDS
ID, LX and AJ-BOAJ Interaction with the PDS: Registration
NOTE
This process applies to patients who are being registered with a “real” GP,
that is, not against the dummy GP codes ZZZ100–ZZZ999.
The patient information you enter on the ID or LX screens forms the basis of the
advanced trace submitted to the PDS.
NOTE
Old format NHS numbers are not submitted as part of the advanced trace.
After you have entered the initial patient data, the NHAIS system will first validate the
data up to but not including the display of any query messages. When the input has
been successfully validated, an advanced trace is submitted to the PDS to attempt a
match. If you are using the ID or LX screens, the pop-up box similar to the one shown
in
Figure 1
will be displayed while waiting for a response from the PDS:

Figure 1: Accessing the PDS – Pop-up Box
The box displays the details being searched for on the PDS. Only the patient’s
surname or previous surname (see the note below), first forename, date of birth and
sex are used for the search.
NOTE
The pop-up box will tell you if the current or previous surname is being
used for the search.
The word “Trying” flashes to indicate a connection to the PDS is being sought. If no
response is received from the PDS in the allocated time you have the option to recheck
for a response from the PDS. In these cases, the word “Trying” will change to
“Retrying”.
Also, when attempting to use a previous surname, the word “current” will change to
“previous”. See below for further details.
NOTE
A “hot key” function is available from the Key field on the ID screen
display of an existing patient on the system. It can be invoked by pressing
Ctrl and T simultaneously. Assuming the patient displayed on the screen
has a 10 digit NHS number, this will invoke a trace against the PDS for
the patient using their NHS number.
This “hot key” function is also available from the Key field on the LX
Amendment Details and LX Deduction Request Details screen.
Wildcard Searches
You can use wildcard searches on the ID and LX screens in
Surname
,
Forenames
,
Previous Name
and
Birth Date
fields.
